How to fill the gaps in your CRM without another subscription

A step-by-step plan to find, fill and maintain missing contact data in your CRM using a one-off bulk enrichment instead of another monthly tool.

Your CRM probably holds thousands of contacts. A good chunk of them cannot be called, because the mobile number is missing, wrong or a switchboard. The usual response is to buy another tool. Another login, another invoice, another thing to integrate.

There is a simpler path. This is a step-by-step plan to fill the gaps in your CRM with a one-off bulk enrichment, and keep it healthy afterwards. It builds on our guide to what CRM data enrichment is.

Step 1: Measure the gaps

You cannot fix what you have not counted. Export your contacts to a spreadsheet and calculate:

  • Percentage with a direct mobile
  • Percentage with a verified work email
  • Percentage with a current job title
  • Percentage with a LinkedIn URL
  • Number of duplicate records

Do the same for companies if you track accounts: industry, size and location.

Set a target. A reasonable goal might be to get direct mobile coverage above 70 per cent on your priority segments.

Step 2: Decide which records are worth enriching

Do not enrich everything. Enrichment has a cost, and not every contact justifies it. Prioritise:

  1. Open opportunities with an incomplete decision-maker record
  2. Recent leads that never got a call
  3. Closed-lost deals from the last 18 months, which are warm and cheap to revive
  4. Target accounts where you have one contact and need three
  5. Customers where you want to reach more of the buying group

Skip anything obviously dead: bounced domains, long-defunct companies, retired contacts.

Step 3: Clean before you enrich

Enrichment works by matching. If your records are messy, matches fail or create duplicates. Spend an hour on these basics:

  • Standardise company names (remove "Pty Ltd" variations).
  • Fix obvious typos in names and domains.
  • Merge duplicates.
  • Make sure each record has at least a name and a company, ideally a domain or email.

The better your input, the better your match rate.

Step 4: Brief your provider

Be specific about what you need, not what you hope for. A good brief says:

  • Which records you are sending
  • Which fields you want appended (direct mobile, email, title, LinkedIn)
  • Any additional records you want for target accounts
  • How you want the file formatted

If you also want brand new contacts, such as every operations manager in transport and logistics in Melbourne, say so. We can append to your records and build net new lists in the same job. See our B2B lead lists page for more.

Step 5: Check the sample

Before importing everything, test a slice.

  1. Take 50 enriched records.
  2. Call 20 of the mobiles.
  3. Verify 20 titles against LinkedIn.
  4. Send a test email to a handful of addresses and watch for bounces.

If the results are good, proceed. If not, raise it with your provider before the full file is loaded.

Step 6: Import safely

This is where CRM mess is made. Follow these rules:

  • Back up first. Export a copy of your current data.
  • Match on a unique key, such as email or record ID, so you update rather than duplicate.
  • Do not overwrite good data with blanks. Only fill empty fields, or map to new fields for review.
  • Tag the source and date, for example "Enriched Oct 2026". This lets you measure results and refresh later.
  • Import in a small batch first, then the rest.

Step 7: Put it to work immediately

Data decays from the day it arrives, so use it. Build call lists in your CRM filtered by segment and enrichment tag. Give reps clear targets for the first two weeks.

Pair your calls with follow-up emails. We explain why a call-first sequence tends to beat email alone in why direct mobile numbers beat email.

Step 8: Measure the lift

Compare results before and after enrichment on the same segments:

Metric Before After
Records with a direct mobile
Connect rate
Meetings booked per 100 contacts
Pipeline created

Even a rough comparison tells you whether the spend was worth it.

Step 9: Keep it fresh

A one-off enrichment is a good start. To keep the benefit:

  • Refresh priority segments every six months.
  • Capture data at the point of entry. Make phone mandatory on forms where you can.
  • Ask reps to update records after each call. A wrong number should be flagged straight away.
  • Archive dead records regularly.

Why not just buy another subscription?

Sometimes you should. If your team needs a research tool, a subscription may be right. But if your problem is gaps in records you already have, a subscription adds cost and complexity.

Compare the two approaches:

  • Another subscription: monthly fees, seats, credits, an extra integration to maintain.
  • Bulk enrichment: one quote, a file you keep, imported into the CRM you already use.

We go through the numbers in credits vs bulk: the real cost of B2B data subscriptions.

A short example

Imagine a services business with 18,000 contacts and direct mobiles on only 2,500 of them. They send the 8,000 most relevant records for enrichment, plus a brief for 3,000 new owners in two target industries. After import, the team has far more call-ready contacts and a clear refresh plan. They did not add a seat, a login or a contract.

The bottom line

Filling CRM gaps does not need a new platform. It needs a clear brief, a clean import and a plan to keep data fresh. Do that, and the CRM you already pay for becomes a lot more useful.
